This Event Privacy Notice applies specifically to the processing of personal data collected in connection with registration for and participation in the COPS Solutions event held in Amsterdam, the Netherlands (“Event”).

Purpose:
Managing event registration, attendance, logistics, and operational communication.

Performance of a contract or steps prior to entering into a contract (Art. 6(1)(b) GDPR)

4.2 Communication related to the Event

Purpose:
Sending organizational and informational communications related to the Event.

4.3 Sharing participant information with other attendees (optional)

Purpose:
Creating and sharing a participant list to facilitate networking.

Data:
Name, Company Name, Job Title, LinkedIn profile link

Your explicit consent (Art. 6(1)(a) GDPR).

Providing this consent is entirely voluntary. You may attend the Event even if you do not consent.

4.4 Use of photographs and videos for marketing purposes (optional)

Purpose:
Publication of photos and videos from the Event on:

the cops.solutions website, and
COPS Solutions social media channels (e.g. LinkedIn).

Data:
Photographs and video recordings in which you may be identifiable.

Legal basis:
Your explicit consent (Art. 6(1)(a) GDPR)

Consent is voluntary and may be withdrawn at any time.

5. Recipients of Personal Data

Your personal data may be shared with the following categories of recipients:

Event registration and communication service providers
Venue staff for on-site check-in
Photographer and/or videographer acting as data processors
Other Event participants only if you have provided consent

All processors act under contractual data processing agreements in accordance with GDPR.

Some service providers (e.g. social media platforms or event tools) may process data outside the European Economic Area.

Where applicable, such transfers are safeguarded by appropriate measures in accordance with GDPR, such as standard contractual clauses.

Event registration and attendance data:
up to 12 months after the Event
Photographs and videos used for marketing purposes:
until consent is withdrawn or for a maximum of 24 months after the Event, unless a longer retention is justified
